Western Sydney University AI acknowledgement

Generative AI rules differ by subject and even by assessment task, so students must check the Subject Outline and Subject Coordinator. Where AI is allowed, students acknowledge which tools they used and how; quoted or paraphrased AI text and images are cited per their referencing style, while using AI for ideas, data analysis, problem solving or significant writing feedback is acknowledged in a statement rather than cited.

Western Sydney University's own wording

"I acknowledge the use of [generative AI tool/program and model] in developing some of my ideas and writing for this assessment. I have critically evaluated any output from generative AI tools. I have included details in the Appendix."

The rules at a glance

When you need one
Whenever generative AI is permitted and used in an assessment: cite AI text/images you include, and acknowledge (not cite) use of AI to generate ideas, analyse data, solve problems or give significant feedback on your writing.
Where it goes
Use the method your Subject Coordinator requires: an acknowledgements section and/or an appendix or online form. If required, prompts/outputs or the full transcript go in an appendix referred to in the acknowledgement statement.
Prompts and outputs
Be ready to provide details of the tools and how you used them; you may be asked to include examples of your prompts and AI responses or how you used the output, e.g. in an appendix or supplemental materials. You may also be asked to explain your work or provide notes or an early draft.
Referencing
Cite per your referencing style; check whether non-recoverable sources need to go in the reference list. APA 7: author is the model's creator, in-text (OpenAI, 2023); reference format 'Author. (Year). Title (Month Day version) [Description of AI model]. URL'. Harvard WesternSydU: in-text only as personal communication, e.g. (OpenAI ChatGPT, personal communication, 16 January 2023), no reference list entry. MLA 8 Works Cited: '"The importance of critical thinking" prompt. ChatGPT, 1 Jan. version, OpenAI, 16 Jan. 2023, chat.openai.com/chat.' Vancouver: in-text only, e.g. (OpenAI ChatGPT, 2023 Jan 16; unreferenced). Chicago 17: footnote only, e.g. '24. Text generated by ChatGPT, OpenAI, January 16, 2023, https://chat.openai.com/chat.' AGLC 4: footnote '1 Output from ChatGPT, OpenAI to John Smith, 16 January 2023.' plus bibliography 'OpenAI, ChatGPT to John Smith, Output, 16 January 2023'. AI images get figure captions with tool, prompt and date.
Must include
  • name and version of the generative AI tool(s)
  • month and year you accessed the tool(s)
  • how you used the tool(s), e.g. prompts, AI responses, examples of your own work and the AI feedback, and where in the assignment AI was used (depending on assessment requirements)
Also note
  • AI is not permitted in some subjects and rules can differ between tasks in the same subject; using AI without following subject/task instructions may be academic misconduct
  • do not assume you can use AI; check the Subject Outline, Ultra or the Subject Coordinator
  • AI is usually not appropriate as a primary source; verify output and any sources it cites
  • spelling/grammar tools only if they do not use generative AI (e.g. turn off Grammarly's generative AI features); paraphrasing tools and AI translation not allowed unless permitted
  • do not upload assignments to external AI-detection or checking sites
