The rules at a glance
- When you need one
- Any use of GenAI tools, including creating content, brainstorming, editing code or writing for spelling/grammar/structure, and translating text. Failure to acknowledge each use may be academic misconduct.
- Framework
- Federation University Artificial Intelligence Learning and Teaching ASSURE Framework (assessments split into Independent Capability and Integrated Application tasks)
- Where it goes
- Acknowledgement statement and/or transcript in an appendix after the reference list, bibliography or works cited list.
- Prompts and outputs
- Save the prompts, outputs and a copy of the full conversation (e.g. in a Word document) in case you must include a transcript in the appendix. The AI Guidelines also recommend keeping drafts and prompts as evidence of authentic learning.
- Referencing
- Also reference GenAI use according to your referencing style; see FedCite for style-specific guidance and examples (no example given in these sources).
- Must include
- name and URL of the GenAI tool
- how you used or modified the GenAI output
- prompt(s) used and any reprompting to refine the output
- transcript of the session (where required)
- for research: tool version and date of interaction may be included
- Also note
- Always seek permission from lecturers, coordinators or supervisors before using GenAI in any way
- Independent Capability assessment tasks must be invigilated
- GenAI cannot be a co-author; authors are fully responsible for content
- Researchers must not use GenAI to assess peer-review material (grants, manuscripts, theses, ethics applications)
- HDR candidates must not use GenAI to draft the thesis entirely or interpret data entirely, nor to process examiner reports
- Do not upload personal, confidential, Indigenous cultural or copyrighted data into commercial GenAI tools
- Using GenAI to produce work without proper acknowledgement is treated as deliberate cheating
